AI4 Trades Consulting — Privacy Policy

Effective date: October 18, 2026

1. Who this policy covers

AI4 Trades Consulting ("AI4", "we", "us", or "our") respects the privacy of the people who use our websites and services.

This policy applies to ai4trades.ca and other AI4-operated landing pages, questionnaires, assessments, audit forms, upload tools, and business tools that link to this policy. It explains how we handle personal information when you contact us, request a service, submit information, or use these tools.

Some tools are provided for another business. Where a tool identifies a client business as responsible for your information, that business decides why your information is collected and how it is used. AI4 may provide technical support, storage connections, or processing on its behalf. The tool's privacy notice must identify that business, its contact details, and any practices that differ from this policy. This policy does not automatically cover every website we have designed for another business.

2. Information we collect

The information collected depends on the website and the service you use. It can include:

Please provide only what is needed. Do not upload passwords, payment card details, government identification, health records, or unrelated sensitive information. Before submitting information or photos about another person, make sure you have the authority and any consent required to do so.

3. How we use information

We use information for the purposes explained when it is collected, including to:

Where a customer phone number is used as a record identifier, it helps match information to the right customer or job. It is not, by itself, proof that someone is authorised to access that record.

We do not sell personal information. We do not publish identifiable questionnaire answers, customer records, job photos, or reports for advertising or testimonials without separate permission.

4. AI-assisted analysis

Some services use AI tools to help review submitted information, summarise answers, identify possible improvements, extract details from files or photos, and prepare draft reports or recommendations. Relevant information may be processed by the AI provider used for that service.

AI results can be incomplete or incorrect. Recommendations should be reviewed before being used for business decisions. Contact us before submitting sensitive personal information if you need to discuss what will be sent to an AI provider or whether another approach is available.

Provider settings and terms affect how submitted information is retained and used. Any material use beyond providing the requested service, including use of identifiable submissions for model training, must be separately explained and supported by any required consent.

5. Service providers and sharing

We use service providers to help deliver services. Depending on the website, these may include website hosting, form and file storage, Google Workspace services such as Sheets and Drive, automation services, email delivery, payment processing, and AI analysis providers.

We share information with providers as needed for the relevant task. For example, a questionnaire may save answers to a connected spreadsheet, an automation may send a confirmation email, and an AI service may process information needed for a report. Ask us for details about the providers used by a particular service.

If you submit information through a client-branded tool, it may be available to the named client business and its authorised staff or service providers for the stated job or service.

We may also disclose information where required or permitted by law, to respond to a lawful request, or to protect legal rights and the security of our services. A business transfer involving personal information would be handled under applicable privacy requirements.

Links and external checkout pages may take you to another organisation's service. Its privacy policy applies to information it collects directly. Payment card information should be entered only through the designated payment provider, not in assessment forms or uploads.

6. Processing outside Canada

Our providers may store or process information in Canada, the United States, or other countries. Information processed elsewhere may be subject to that country's laws and lawful access by its authorities. Contact our privacy contact below for information about foreign service providers and our practices concerning processing outside Canada.

7. Cookies and saved information

Depending on the platform, websites may use cookies, browser storage, and similar technologies to operate the site, remember progress, maintain a session, or help protect the service. Saved progress may remain on the device you used. Take care when using a shared device.

Any optional analytics or advertising tracking must be identified in the site's own cookie notice, with choices and consent where required. This policy does not give blanket permission for optional tracking. Browser controls can limit cookies or clear saved information, although this may affect features such as resuming a questionnaire.

8. Consent and communications

We explain the purposes for collecting personal information and obtain consent where required. You can decline optional information or withdraw consent by contacting us, subject to legal and contractual limits. We will explain if this prevents us from completing a requested service.

Submitting a form does not automatically subscribe you to marketing emails. Marketing permission is handled separately where required. You can unsubscribe from marketing using the link in the message or by contacting us. We may still send necessary messages about a service you requested.

9. Retention and security

We retain personal information only as long as reasonably needed for its stated purpose, related support, business record requirements, or legal obligations. Retention depends on the type of record and the service. Information that is no longer needed is deleted or anonymised, subject to backup cycles and lawful retention requirements.

We use reasonable safeguards appropriate to the information and the service, including limiting access to people who need it for their work. No online system can guarantee complete security. Keep access codes and private links confidential and notify us if you suspect unauthorised access. Where required, we report privacy breaches to the appropriate regulator and notify affected individuals.

10. Your requests and concerns

You can contact us to ask about our practices, request access to personal information we hold about you, correct inaccurate information, withdraw consent, or request deletion. These requests are subject to applicable law, identity verification, and legitimate retention requirements. We will respond within applicable legal time limits and explain any restriction on fulfilling your request.

For information held on behalf of a client business, we may direct your request to that business or help it respond. Please do not send sensitive identification documents unless we arrange a suitable verification method.

If you have a privacy concern, contact us first so we can address it. You may also contact the privacy regulator with jurisdiction over your concern, such as the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.

11. Changes to this policy

We may update this policy as our services and practices change. The published version will show its effective or last-updated date. Where a change introduces a new use requiring consent, we will seek that consent before proceeding.
